Transform Tech Software Technology Company Limited (“Transform Tech”, “we” or “us”) respects your privacy. This policy explains what personal data we collect through the website transformtech.vn, why we use it, how long we keep it, how we protect it and your rights, in line with Vietnam’s Personal Data Protection Law No. 91/2025/QH15 and Decree No. 356/2025/ND-CP detailing its implementation.

2. Data we collect
When you send a contact or consultation request: your name, phone number, email address, industry and the message you enter.
When you apply for a job: your name, email address, phone number, CV (file or link), introduction and the time you consented to data processing. Please do not include information that is not needed for recruitment in your CV, such as ID numbers, health information, religion or financial details.
When you visit the Website: technical data such as IP address, browser type and time of visit is recorded by the server and security firewall to protect the Website; cookies are used as described in our Cookie Policy. IP addresses used to prevent spam on the application form are stored as a one-way hash.
We do not knowingly collect sensitive personal data, and we do not knowingly collect data from children through the Website.
3. Purposes of processing
- To contact you, provide consultation and send proposals at your request;
- To review applications, arrange interviews and carry out the recruitment process;
- To keep the Website secure and to detect and prevent unauthorised access and spam;
- To comply with requests from competent authorities as required by law.
We do not use your data for advertising and we do not sell personal data to anyone.
4. Your consent
The forms on the Website include a checkbox for you to actively consent to data processing before submitting; it is never pre-ticked. The system records the time and wording of your consent. You can withdraw your consent at any time by contacting us as described in Section 9; withdrawal does not affect the lawfulness of processing carried out before it.
5. Retention
- Contact and consultation requests: kept for as long as needed to communicate and work with you, then deleted when no longer needed or when you ask us to delete them.
- Job applications: kept for 365 days from the date we receive it, then deleted automatically together with the CV file, unless you agree that we may keep them longer for future suitable positions.
- Security logs: kept for a short period according to the security system configuration and used only to keep the system secure.
6. Sharing
Personal data is only accessed by Transform Tech staff whose work requires it. We may use infrastructure providers (website hosting, email delivery) to operate the Website; they only process data on our instructions and for the purpose of providing their services to us. Some embedded services, such as Google Maps and the Google Analytics visitor statistics tool, are only loaded with your permission and may process data on servers outside Vietnam under the provider’s own policies.
We disclose data to competent authorities when lawfully required.
7. Security
- The Website uses encrypted HTTPS connections and a web application firewall;
- CV files are stored in a private folder that is not publicly accessible and can only be downloaded by authorised administrator accounts;
- Administrative access is limited by role and responsibility;
- If a personal data breach occurs, we will take remedial measures and give notice as required by law.
8. Your rights
Under personal data protection law, you have the right to:
- Be informed about the processing of your personal data;
- Give or refuse consent, and withdraw consent to processing;
- Access and correct, or request correction of, your personal data;
- Request a copy of, deletion of, or restriction of processing of your personal data;
- Object to the processing of your personal data;
- Lodge complaints, file denunciations or lawsuits, and claim compensation as provided by law;
- Ask the competent authorities to apply measures to protect your personal data.
9. How to exercise your rights
Send your request to tuanta@transformtech.vn (for job applications you can also write to tuyendung@transformtech.vn), stating your name, the contact details you used and what you are requesting. We may ask you to verify your identity before acting on the request in order to protect your data. Requests are acknowledged and handled within the time limits set by law.
10. Changes to this policy
This policy may be updated when our data processing or the law changes. The new version will be published on this page with its update date.
